HRBAIRS Data Dictionary - Table of Contents

This page gives a list of HR-BAIRS views, followed by an alphabetized list of fields that occur in all HR-BAIRS views.

Click on a view name if you wish to view only fields that occur in that view; or scroll down to the appropriate field-name if you want to link to its general definition, which includes information on all the views in which the field occurs.

View names in this dictionary are the "root" names of views. Thus, the view EMPLOYEE_DIM in this dictionary refers to all variants of the view in the data warehouse, including EMPLOYEE_DIM_JOB_V, EMPLOYEE_DIM_EMPLEE_V, EMPLOYEE_DIM_CHART_V, and EMPLOYEE_DIM_AA_V. In such cases, view-varient specific information may be found in the field's definition.

Not all HR-BAIRS users have access to all views! Just because a field or view is represented in this dictionary does not mean that you can see it. Access to views and to reports that draw data from the views is governed by the "subject area" (or areas) to which each HR-BAIRS user is assigned. ACCOUNT_CODE

The Account portion of a GL chartstring.

ACTION_CD

Identifies the broad category of transaction represented by a row on the HRMS job record (e.g., Data Change, Hire, Promotion, Return from Leave, Termination). Values for this field may be viewed on the HCM: Action/Reason Chart

ACTION_REASON, with which ACTION_CD is paired, identifies the specific kind of transaction within the broader category.

ACTION_DT

Date this row of Job data was created; this date is not modified when the row is corrected using PeopleSoft HRMS "Correction Mode."

ACTION_REASON

ACTION_REASON identifies the specific kind of transaction represented by a row on the HRMS job record, within the broader category defined by ACTION_CD. For example, ACTION_REASON codes subsidiary to the ACTION_CD signifying "Hire" include: Hire with Recruitment, Hire with Waiver, Hire from other UC Campus, etc. Values for this field may be viewed on the HCM: Action/Reason Chart

In the ACTION_REASON_LKUP view, this field is the Action Reason described by the row of lookup data, and is a key field in the view.

ADDRESS1

The first line of an address.

ADDRESS2

The second line of an address.

AMERN_INDIAN_FEMALE_CNT

The number of American Indian female employees summarized in a row of data.

AMERN_INDIAN_MALE_CNT

The number of American Indian male employees summarized in a row of data.

AMERN_INDIAN_UNKNOWN_SEX_CNT

The number of American Indian employees whose sex is not recorded in HRMS summarized in a row of data.

ANNUAL_PAY_RT

Rate of pay for the job represented by this row of data, in dollars per year, normalized to 1.00 FTE.

APPLICANT_ID

This field does not contain meaningful data.

APPLICATION_DATE

This field does not contain meaningful data.

APPT_BEGIN_DT

Begin date of the most recently created appointment in PPS that corresponds to the row of HRMS job data in which this field occurs.

Transactions in HRMS create appointments in PPS or not depending on the Action Code and Action Reason used. Only those Action Codes/Reasons that create new appointments in PPS cause this field to be changed from its value in the previous row of job data to the effective date of this row. In most cases, but not all, an Appointment Begin date signifies a new or a change in the JobCode for the Employment Record (EMPL_RCD_NO) described by this row of data.

APPT_DURATION

The category of duration-of-employment. Examples include: Indefinite, Tenure, End Date, Visa, etc.

APPT_END_DT

The last date on which the job represented by the row in which this field occurs is effective. Not required in all cases; may be populated with a high value (12/31/9999).

APPT_END_DT is populated with a "real" date only when APPT_DURATION (Employment Duration) is set to certain values. For example, when Employment Duration is set to "I - Indefinite," HRMS shows a blank field for End Date, and APPT_END_DT in the data warehouse is set to 12/31/9999.

APPT_TYPE

The Appointment Type code described by a row of data. The single-character codes (e.g. 2, X, 3, 1) translate to Appointment Types such as Regular/Career, Faculty, Limited, and Contract. A full list of values for this field can be found on the the HCM: Appointment Types page.

APPT_TYPE_CD

A code representing the Appointment Type summarized in a row of summary-view data.

ASIAN_FEMALE_CNT

The number of Asian female employees summarized in a row of data.

ASIAN_MALE_CNT

The number of Asian male employees summarized in a row of data.

ASIAN_UNKNOWN_SEX_CNT

The number of Asian employees whose sex is not recorded in HRMS summarized in a row of data.

BIRTHDATE

Date of birth.

BLACK_FEMALE_CNT

The number of black female employees summarized in a row of data.

BLACK_MALE_CNT

The number of black male employees summarized in a row of data.

BLACK_UNKNOWN_SEX_CNT

The number of black employees whose sex is not recorded in HRMS summarized in a row of data.

BUDGETED_FTE

A decimal value representing the fraction of this job's FTE for which centrally budgeted funding is allocated from the GL chartstring described by this row of data.

The values of Budgeted_FTE in JOB_EARNS_DIST rows that correspond to a single row of Job data may add up to no more than 1.00.

BUDGET_TYPE

Designation as a job that may be paid out of permanent, state-budget funds ("B"), or not ("N").

Budgetable jobs may -- but need not -- carry positive values in the field BUDGETED_FTE on the Earnings Distribution table; non-budgetable jobs may not.

BUSINESS_PHONE

Phone number associated with the job described by this row of data.

BUSINESS_TITLE

The business title associated with the Employment Record row represented in this row in the Data Warehouse.

This is not a centrally-assigned title, but one associated with an individual campus position. A departmental user of HRMS may populate it with whatever descriptive title is appropriate.

BUSINESS_UNIT_CODE

The General Ledger Business Unit (e.g., 1 - UCB; J - UCOP).

CALLBACK_MIN_HOURS

Minimum callback hours for the union described by this row of lookup table data.

CALLBACK_RATE

Callback rate (factor) for the union described by this row of lookup table data.

CAMPUS_NODE_CD

The Level 1 (Campus-level) ORG_NODE code associated with data represented by a row, generally in data warehouse summary views.

CAMPUS_NODE_KEY

A database key identifying the Level 1 (Campus-level) ORG_NODE associated with data represented by a row, generally in data warehouse summary views. A numeric value, the function of this key is use instead of ORG_NODE when joining certain views, to improve database performance.

CERTIFIED

Indicator regarding whether the union described by this row of lookup data is certified. "Y" if certified; otherwise "N."

CHANGE_AMT

Amount of change in salary from its most recent previous value. This amount is calculated only for "add to base" type components of pay.

CHANGE_PCT

Percentage change of salary compared to its most recent previous value. This percentage is calculated only for "add to base" type components of pay.

CITIZENSHIP_STATUS_CD

Status regarding citizenship in the United States (e.g., U.S. Citizen, Non-Resident, Resident Alien).

CITY

The City component of an address.

CLOSED_SHOP

Indicator regarding whether the union described by this row of lookup data has a closed-shop clause in its contract with UC Berkeley. "Y" if closed shop; otherwise "N".

COMPANY

The organization to which the entity described by this row of data belongs (e.g., "UCB").

In the DEPT_TBL_LKUP view, the organization in which the Org_Node described by a row of data exists, e.g., "UCB".

COMPRATE

Amount of periodic payment, expressed at a rate described by a related Compensation Rate code and disbursed at the frequency specified by a related Compensation Frequency field.

In the COMPENSATION view, the amount associated with this component of pay.

In the JOB_EARNS_DIST view, the rate or amount from which pay is to be calculated for a row of Job Earnings Distribution data.

For example, if the DIST_PERCENT is 10.0000%, and the COMP_RATE is $3,000.00, this row describes an earnings distribution of $300.00. Where Earnings Codes are not based on a percentage of time (e.g., stipends or housing allowances), the earnings distribution described by the row is based on the COMPRATE only.

COMP_AVG_RAW_ANNUAL_BASE_AMT

A raw average of annual pay rates for job summarized in this row of summary view data. The raw average is based on the total number of job rows summarized, irrespective of how many FTE these rows represent. A minimum number of jobs must be summarized in a row of data in order for this field's value to contain an average (see complete definition for detailed information).

COMP_AVG_RAW_HOURLY_BASE_AMT

A raw average of hourly pay rates for job summarized in this row of summary view data. The raw average is based on the total number of job rows summarized, irrespective of how many FTE these rows represent. A minimum number of jobs must be summarized in a row of data in order for this field's value to contain an average (see complete definition for detailed information).

COMP_AVG_RAW_MONTHLY_BASE_AMT

A raw average of monthly pay rates for job summarized in this row of summary view data. The raw average is based on the total number of job rows summarized, irrespective of how many FTE these rows represent. A minimum number of jobs must be summarized in a row of data in order for this field's value to contain an average (see complete definition for detailed information).

COMP_AVG_WGTD_ANNUAL_BASE_AMT

A weighted average of annual pay rates for job summarized in this row of summary view data. The weighted average uses the sum of FTE represented by the summarized jobs, rather than the raw number of rows. A minimum number of jobs must be summarized in a row of data in order for this field's value to contain an average (see complete definition for detailed information).

COMP_AVG_WGTD_HOURLY_BASE_AMT

A weighted average of houry pay rates for job summarized in this row of summary view data. The weighted average uses the sum of FTE represented by the summarized jobs, rather than the raw number of rows. A minimum number of jobs must be summarized in a row of data in order for this field's value to contain an average (see complete definition for detailed information).

COMP_AVG_WGTD_MONTHLY_BASE_AMT

A weighted average of monthly pay rates for job summarized in this row of summary view data. The weighted average uses the sum of FTE represented by the summarized jobs, rather than the raw number of rows. A minimum number of jobs must be summarized in a row of data in order for this field's value to contain an average (see complete definition for detailed information).

COMP_FREQUENCY

The frequency at which the job-level pay described in the COMPRATE field is paid.

In the COMPENSATION view, the frequency at which a component of pay, described by the row of data in question, is disbursed to the employee.

COMP_RATE_CD

The rate / frequency at which this component of pay is paid (e.g., per MONTH, HOURLY, SEMI-monthly, 11/12).

CONTACT_NAME

The name of a contact person described by a row of data.

CONTRACT_BEGIN_DT

Contract begin date for the union described by this row of lookup table data.

CONTRACT_END_DT

Contract end date for the union described by this row of lookup table data.

CONTROL_UNIT

The Control Unit associated with the Org_Node (loosely, "Department") to which the job described by this row of data is assigned.

CONTROL_UNIT_NODE_CD

The Level 2 (Control Unit) ORG_NODE code associated with data represented by a row, generally in data warehouse summary views.

CONTROL_UNIT_NODE_KEY

A database key identifying the Level 2 (Control-Unit-level) ORG_NODE associated with data represented by a row, generally in data warehouse summary views. A numeric value, the function of this key is use instead of ORG_NODE when joining certain views, to improve database performance.

COUNTRY

The Country component of an address.

COUNTY

The County component of an address.

CTO_CD

The CTO ("Class Title Outline") code or OSC ("Occupational Subgroup Code) associated with the job described by a row of data.

In Workforce Summary reports, this is the CTO code or OSC on which a row's data is summarized.

CURRENCY_CD

Currency in which compensation rates are recorded, e.g., "USD" (United States dollars).

CUR_REC_FLAG

The most current record for each employee and job, not future-dated, as of the most recent refresh of the Data Warehouse table contains the value "Y" in this field. Records other than the current one contains the value "N".

DATE_OF_DEATH

Date of death.

DEPTH_FROM_PARENT

The number of levels between the Parent_Node and Org_Node described by this row of lookup table data.

For example, the number of levels between an Org_Node and itself is zero; the number of levels between Department and Division is one; the number of levels between Department and Control Unit is two; etc.

DEPT_ENTRY_DT

The date since which ORG_NODE has remained constant at the value in this Data Warehouse row (for the EMPL_ID plus EMPL_RCD_NO in this Data Warehouse row only). That is, the most recent effective-date on which the value of ORG_NODE in job rows with the EMPL_ID + EMPL_RCD_NO in this Data Warehouse row changed to the value of ORG_NODE in this row.

DEPT_NODE_CD

The Level 4 (Department) ORG_NODE code associated with data represented by a row, generally in data warehouse summary views.

DEPT_NODE_KEY

A database key identifying the Level 4 (Department-level) ORG_NODE associated with data represented by a row, generally in data warehouse summary views. A numeric value, the function of this key is use instead of ORG_NODE when joining certain views, to improve database performance.

DESCR

The full description (name) of a code.

DESCRSHORT

The short description (name) of the Org_Node described by this row of lookup table data.

DESCR_SHORT

The short-description of the code described by this row of lookup table data.

DESC_LONG

The long description of the Appointment Type code described by this row of lookup table data.

DESC_SHORT

The short-description of the Appointment Type code described by this row of lookup table data.

DISABILITY_INS

Disability insurance plan for the union described by this row of lookup table data.

DISCIPLINE_NODE_CD

The Level 5 (Discipline) ORG_NODE code associated with data represented by a row, generally in data warehouse summary views.

DISCIPLINE_NODE_KEY

A database key identifying the Level 5 (Discipline/Group-level) ORG_NODE associated with data represented by a row, generally in data warehouse summary views. A numeric value, the function of this key is use instead of ORG_NODE when joining certain views, to improve database performance.

DISPLAY_GRADE

The grade associated with the job represented in this row in the Data Warehouse, as displayed on the Compensation page (as opposed to the Salary Plan page) in the Job Data component of the HRMS application.

This value is blank (null) for certain values of Grade displayed on the Salary Plan page of the HRMS application (SAL_GRADE in the Data Warehouse). As of October 2002, job rows with grades displayed on the Salary Plan page as "NA", "OPN", or "STP" will have DISPLAY_GRADE fields populated as blanks (a single space character).

DISPLAY_STEP

The step associated with the job represented in this row in the Data Warehouse, as displayed on the Compensation page (as opposed to the Salary Plan page) in the Job Data component of the HRMS application.

This value is blank (null) for certain values of Step displayed on the Salary Plan page of the HRMS application (SAL_STEP in the Data Warehouse). Determination of whether the DISPLAY_STEP is blank is based on the Salary Administration Plan associated with the Job_Code for this row; and/or the values of the OFF_ABOVE_SCALE_CD in Compensation table child-records to the row of Job data reprented by this Data Warehouse row

DIST_NO

The PPS distribution number to which this row of data may correspond. This field is not meaningful in HRMS reporting, because PPS appointment numbers are determined and recalculated independent of the data rules that keep HRMS data meaningful, and may differ in PPS from the values stored in HRMS.

DIST_PERCENT

The percentage of FTE to be paid from the GL chart string described in this row.

Note that the sum of distribution percent values from certain rows on the JOB_EARNS_DIST level - those on which the Earnings Code (ERN_CD in the data warehouse) is euql to REC, REG, REN, RG1, SLN, SLR, or TAP - equals the value of FTE on the Job level (enforced by HRMS application editing rules).

DIVISION_NODE_CD

The Level 3 (Division) ORG_NODE code associated with data represented by a row, generally in data warehouse summary views.

DIVISION_NODE_KEY

A database key identifying the Level 3 (Division-level) ORG_NODE associated with data represented by a row, generally in data warehouse summary views. A numeric value, the function of this key is use instead of ORG_NODE when joining certain views, to improve database performance.

DW_FEFF_DT

The first date for which a row in a Data Warehouse table is effective. This field only appears in the Data Warehouse.

DW_LEFF_DT

The last date for which this row in a Data Warehouse table is effective. For the last effective row, this field is populated with a high value (12/31/9999). See DW_FEFF_DT for a fuller explanation. This field only appears in the Data Warehouse.

DW_LOAD_DT

The date on which this row was loaded into the Data Warehouse. As of July 2002, the Data Warehouse views are rebuilt from HRMS data each time they are updated (generally, Monday through Friday nights). Because of this, it is normal for all DW_LOAD_DT values in a single view to be the same.

EEO_JOB_GROUP_CD

The code designating the Job Group (for Affirmative Action/EEO purposes) to which this job belongs.

In the Workforce Summary view SAA_EEO_JOB_SUMMARY, this is the Job Group on which a row's data is summarized.

EEO_JOB_GROUP_DESC

The description (name) of the Job Group to which this job belongs.

EFF_DT

The effective date of this row of data. "Effective date" in PeopleSoft data sets means "the date this row of data took effect."

EFF_STATUS

A code describing the effective status of the code (or other element) described by a row of Data Warehouse data. "A" if this row is active; "I" if row is inactive.

EMPL_ID

Employee ID. The key field used to uniquely identifying employees and non-employees in HRMS. Values auto-generated by HRMS upon hire.

EMPL_RCD_NO

A system-generated key field that distinguishes one concurrent job from another for those employees who hold multiple jobs simultaneously.

When multiple jobs are held simultaneously, concurrently-effective rows with different EMPL_RCD_NO (Employment Record Number) values will exist. Different jobs held sequentially will generally re-use the same EMPL_RCD_NO value; a new EMPL_RCD_NO is generated for an employee when an ADD ADDITIONAL JOB action occurs. EMPL_RELATIONS_CD

The Employee Relations code indicates whether a job is that of a manager or supervisor; and whether or not the position is considered "confidential."

In summary views, indicates the Employee Relations code for which data is summarized in a row.

EMPL_STATUS

Employee Status. Examples: Active, Leave with Pay, Leave without Pay, Suspended, Terminated, etc.

EMPL_STATUS_CD

The Employee Status (e.g., Active, Leave with Pay, Leave without Pay, Suspended, Terminated, etc.) summarized in a row of summary-view data.

ERN_CD

An Earnings Code describes the type of Earnings Distribution a row of data represents. Examples include: REG, WOS, BYA, STP. A full list of codes may be viewed on the HCM: Earnings Codes page.

ER_POSITION_TITLE

The position title, for Employee Relations purposes, associated with the Employment Record row represented by a row in the Data Warehouse. This title is a derived value, based on the value of the Employee Relations Code (EMPL_RELATIONS_CD).

ETHNIC_CATEGORY_CD

The Ethnic Category Code described by a row of data. Ethnic Categories are those with which employees are invited to self-identify (e.g., Chinese, Japanese, Mexican, Latin-American, etc.). Ethnic Categories are aggregated into Ethnic Groups defined by the federal government for regulatory reporting purposes. Data in this field can be accessed only by central-office employees who prepare the reports in which it is used.

ETHNIC_CATEGORY_DESC_LONG

The full description of the Ethnic Category Code described by a row of lookup table data.

ETHNIC_CATEGORY_DESC_SHORT

The short-description of the Ethnic Category Code described by a row of lookup table data.

ETHNIC_GROUP_CD

A code identifying the Ethnic Group in which the Ethnic Category described by this row of lookup table data is aggregated for federal reporting purposes. Data in this field can be accessed only by central-office employees who prepare the reports in which it is used.

ETHNIC_GROUP_DESC_LONG

The full description of the Ethnic Group Code described by this row of lookup table data.

ETHNIC_GROUP_DESC_SHORT

The short-description of the Ethnic Group Code described by this row of lookup table data.

FEMALE_CNT

The number of female employees summarized in a row of data.

FIXED_VARIABLE_CD

Status of this job as Fixed or Variable time.

FLEXFIELD_CODE

The Flex (Flex Field) portion of the GL chartstring associated with this Job Earnings Distribution row.

FLSA_STATUS_CD

Status with respect to the Fair Labor Standards Act (e.g., Exempt or Non-Exempt).

FTE

The FTE associated with the job described by a row of job-level data.

Note that the sum of Distribution Percent values in certain of the Job Earnings Distribution rows associated with the Job must equal the value of this field. Job Earnings Distribution rows with selected Earnings Code values are *not* counted toward the FTE value on the Job level.

FULL_PART_TIME_CD

Status as a full-time or part-time employee.

FUND_CODE

The Fund portion of the GL chartstring encoded in a a row of data.

HEAD_CNT

The number of job-level rows of individuals' HRMS data included in a row of summary data, where the individual row is an employee's Primary Appointment on the date the row of summary data represents. An employee has exactly one Primary Appointment on any given date. See PRIMARY_APPT_INDEX for more on this topic.

The value of the field is calculated from the number of individuals' job-level rows that, in addition to the condition described above, match grouping-category field data in the summary row (e.g., the count of job-level rows whose APPT_TYPE = APPT_TYPE_CD; etc.).

HIGHEST_EDUC_LVL

Highest level of education attained by employee (e.g., HS Graduate or Equivalent, Bachelor's Level Degree). This field must be populated for employees who hold Academic jobs. It is otherwise optional.

HIRED_0_2_YEARS_CNT

The number of employees summarized in this row of ORIG_HIRE_SUMMARY view data whose original hire date, as recorded in HRMS, is less than two years prior to the as-of-date summarized by this row.

HIRED_10_20_YEARS_CNT

The number of employees summarized in this row of ORIG_HIRE_SUMMARY view data whose original hire date, as recorded in HRMS, is greater-than or equal to ten but less than twenty years prior to the as-of-date summarized by this row.

HIRED_20_PLUS_YEARS_CNT

The number of employees summarized in this row of ORIG_HIRE_SUMMARY view data whose original hire date, as recorded in HRMS, is greater-than or equal to twenty years prior to the as-of-date summarized by this row.

HIRED_2_5_YEARS_CNT

The number of employees summarized in this row of ORIG_HIRE_SUMMARY view data whose original hire date, as recorded in HRMS, is greater-than or equal to two but less than five years prior to the as-of-date summarized by this row.

HIRED_5_10_YEARS_CNT

The number of employees summarized in this row of ORIG_HIRE_SUMMARY view data whose original hire date, as recorded in HRMS, is greater-than or equal to five but less than ten years prior to the as-of-date summarized by this row.

HIRE_DT

Date of most recent hire.

HISPANIC_FEMALE_CNT

The number of Hispanic female employees summarized in a row of data.

HISPANIC_MALE_CNT

The number of Hispanic male employees summarized in a row of data.

HISPANIC_UNKNOWN_SEX_CNT

The number of Hispanic employees whose sex is not recorded in HRMS summarized in a row of data.

HOURLY_RT

Hourly rate of pay for the job described by this row of data.

JOB_CD

A code representing the job (classification) summarized in a row of summary-view data.

JOB_CNT

The number of job-level rows of individuals' HRMS data included in a row of summary data, irrespective of whether the individual row is a Primary Appointment or not. See PRIMARY_APPT_INDEX for more on this topic.

Depending on the view in which this field appears, it may signify a number of positions, a number of personnel transactions, or some other count. The value of the field is calculated from the number of individuals' job-level rows that matches grouping-category field data in the summary row (e.g., the count of job-level rows whose APPT_TYPE = APPT_TYPE_CD; etc.).

JOB_CODE

The code identifying the job (classification) described by this row of data.

JOB_CODE_DESC

The name of the job code described by a row of data.

JOB_FTE_CNT

The sum of FTE from job-level rows of individuals' HRMS data included in a row of summary data, irrespective of whether the individuals' rows are Primary Appointments or not. See PRIMARY_APPT_INDEX for more on this topic.

The value of the field is calculated from data in individuals' job-level rows that matches grouping-category field data in the summary row (e.g., the sum of FTE from job-level rows whose APPT_TYPE = APPT_TYPE_CD; etc.).

JOB_OA_CD

The single non-null value, if it exists, from the Components of Pay (rows on the COMPENSATION view) associated with the job represented in this row in the Data Warehouse. Note that among multiple Pay Components (PS_Compensation table rows) associated with a job, a maximum of one may hold a non-null value in the O/A Scale field. That value, if it exists, populates this row of job-level data in the warehouse. Otherwise, the value of this field is Null.

JOB_ROW_CATEGORY

A code that allows differentiation between Principal, Budgetary-Hold, Secondary, and Conversion categories of Job Rows (codes are P, B, S, and C, respectively). Human Resources analytical reporting is generally concerned with Principal rows only (and sometimes with Budgetary-Hold rows). The meanings of these categories and programmatic rules by which they are determined can be viewed in the full definition.

L1_NODE

The Level 1 node (Campus level) in which the Org_Node described by this row of lookup table data occurs.

L1_NODE_DESC

The description of the Level 1 node (Campus level) in which the Org_Node described by this row of lookup table data occurs.

L2_NODE

The Level 2 node (Control Unit level) in which the Org_Node described by this row of lookup table data occurs. (If the Org_Node described by this row is higher in the hierarchy than Control Unit, this field will be empty or blank.)

L2_NODE_DESC

LEVEL_NUM

The level of the Org_Node described by this row of lookup table data.

LIFE_INS

Life insurance plan for the union described by this row of lookup table data.

LOCATION

Location where the job described by this row of data is performed.

MAIL_CODE

The mail code from the employee's campus mailing address.

MALE_CNT

The number of male employees summarized in a row of data.

MANUAL_ROW_FLAG

This value is "Y" if the Compensation row represented by this row of Data Warehouse data was manually added by an HRMS user. If the value of this flag is "N" the Compensation row was originally added and populated by the HRMS system. While a user can change the values of fields in this row, s/he may not delete it (even if other Compensation rows have been added manually). This row -- the one for which MANUAL_ROW_FLAG = "N" -- is the row of Compensation data for which HRMS system edits enforce data integrity.

MAX_PAY_RT_ANNUAL

MAX_PAY_RT_ANNUAL, taken from an HRMS lookup table not accessed directly by most HRMS users, is the highest dollar amount in the salary range for the job described by this row of data.

MIN_PAY_RT_ANNUAL

MIN_PAY_RT_ANNUAL, taken from an HRMS lookup table not accessed directly by most HRMS users, is the lowest dollar amount in the salary range for the job described by this row of data.

MODEL_EMPL_ID

In a row of data that represents a hire where initial data entry was "cloned" from a "model" member of a group of similar hires, this field contains the Employee ID (EMPL_ID) of the employee from which the row's default values were cloned.

Rate of pay for the job represented by this row of data, in dollars per month, normalized to 1.00 FTE.

MONTH_KEY

A database key identifying the month and year of data represented by a row, generally in data warehouse summary views. A numeric value, constructed of a four-digit numeric year concatenated with a two digit numeric month; for example, Oct 2003 is 200310, while Jan 2003 is 200301.

NAME

A person's full name. Last name is given first in this field (e.g.: Smith, Lee X.).

OFF_ABOVE_SCALE_CD

Explanatory code if this component of pay is "off or above the published scale." Valid values of these codes can be found on the HCM: Off/Above Scales page.

ORG_CODE

The Org portion of the GL chartstring associated with this Job Earnings Distribution row (in BFS, known as the Org or Organization code).

ORG_KEY

A database key identifying the ORG_NODE associated with data represented by a row, generally in data warehouse summary views. A numeric value, the function of this key is use instead of ORG_NODE when joining certain views, to improve database performance.

ORG_NODE

The Berkeley campus organizational unit with which a job is associated. Codes are taken from the campus Organizational Tree. This code is not the same as any component piece of chartstrings that are part of the campus General Ledger.

In the lookup view DEPT_HIERARCHY_LKUP, a single record exists for each ORG_NODE. All levels of the UCB Organizational Tree associated with that ORG_NODE - which may occur at any level between 2 (Control Unit) and 7 (Org Code) - are given on the same row. This allows database joins that can always yield, for example, the Control Unit and Division in which an ORG_NODE occurs on the UCB Organizational Tree. Levels below that which a row in this table describes are populated with null or a placeholder (e.g., double-hyphen).

ORG_NODE_CD

The ORG_NODE on which a row of data is summarized in summary views. See ORG_NODE for more information.

ORIG_HIRE_DT

Date of original hire at the University of California.

PARENT_NODE

One of the parent-nodes in the UCB Organizational Tree that occurs above the ORG_NODE described by this row of lookup table data.

A parent-node is a node "above" the ORG_NODE in question. For example, an ORG_NODE that corresponds to a Department will have parent-nodes that corresponded to a Campus, a Control Unit, and a Division. For each ORG_NODE, the DEPT_HIERARCHY_MAP view includes one row for every node above it, and one for itself.

PAYGROUP

Pay Group associated with the job represented by this row of data. Examples include: ACA (Academic), MSP (SMG/MSP), PSE (PSS - Exempt), PSN (PSS Non-exempt).

PAY_BEGIN_DT

The date at which the earnings distribution represented by this row of data begins (or began).

PAY_END_DT

The date at which the earnings distribution represented by this row of data ends (or ended).

PAY_SCHEDULE_CD

The Pay Schedule for the job row represented in this row in the Data Warehouse. Examples include MA (Monthly Arrears), MO (Monthly), and SM (Semi-Monthly)

PERSONNEL_PROGRAM_CD

The Personnel Program associated with the job described in a row of data.

PERSONNEL_STATUS_CD

A person in HRMS can be an Employee ("E") or a Non-employee ("N"). This status is stored in the field PERSONNEL_STATUS_CD.

In summary views, indicates whether a row summarizes data on Employees or Non-Employees.

PHONE

A telephone number.

PHONE_TYPE

The type of phone number described by this row of data (e.g., Business, Cellular, FAX, Home).

POP_CNT

The beginning-of-month population (head-count) whose characteristics (Org Node, Job Code, Salary Grade, Appointment Type, Employee Relations Code, and Unit Code) match those of the separations (which occurred over the course of the month) that are summarized in a row of TURNOVER_SUMMARY view data. The description of the TURNOVER_SUMMARY view details the criteria by which data is included in this field's value.

POP_FTE_CNT

The FTE corresponding to the beginning-of-month population (head-count) whose characteristics (Org Node, Job Code, Salary Grade, Appointment Type, Employee Relations Code, and Unit Code) match those of the separations (which occurred over the course of the month) that are summarized in a row of TURNOVER_SUMMARY view data. The description of the TURNOVER_SUMMARY view details the criteria by which data is included in this field's value.

PRIMARY_APPT_FLG

A logical value to indicate whether the row of data in a summary view summarizes from job rows that are a Primary Appointment / Job, or job rows that are not Primary. See PRIMARY_APPT_INDEX for more information on this concept.

The value of this field is "Y" if the row summarizes Primary job rows; otherwise, "N."

PRIMARY_APPT_INDEX

An indexable value to be used in choosing a single primary job (appointment) from among a single employee's multiple jobs (appointments) active at any given date (as-of date, or "snapshot" date).

PRIMARY_APPT_SAA_INDEX

This field is not used; it was superceded by PRIMARY_APPT_INDEX before any HR-BAIRS queries or reports utilized it.

PRIMARY_CONTACT_FLAG

Code to identify whether a row describes an employee's primary emergency contact. "Y" if this row describes emergency contact; otherwise "N".

PRIMARY_JOB_CNT

The number of job-level rows of individuals' HRMS data included in a row of summary data, only counting those individual row which are Primary Appointments. See PRIMARY_APPT_INDEX for more on this topic.

In the PERSONNEL_TRANSACTION views, this field contains the number of Personnel Transactions that occurred in an employee's Primary Appointment; the total number of personnel transactions summarized in the row are contained in the field TRANS_CNT. Note that the value of this field is calculated from the number of individuals' job-level rows that matches grouping-category field data in the summary row (e.g., the count of job-level rows whose APPT_TYPE = APPT_TYPE_CD; etc.), in addition to meeting the Primary Appointment criterion described above.

PRIMARY_JOB_FTE_CNT

The sum of FTE from job-level rows of individuals' HRMS data included in a row of summary data, where the individuals' rows are Primary Appointments. An employee has exactly one Primary Appointment on any given date. See PRIMARY_APPT_INDEX for more on this topic.

The value of the field is calculated from data in individuals' job-level rows that, in addition to the condition described above, match grouping-category field data in the summary row (e.g., the sum of FTE from job-level rows whose APPT_TYPE = APPT_TYPE_CD; etc.).

PROGRAM_CODE

The Program portion of the GL chartstring associated with this Job Earnings Distribution row.

PROJECT_NO

The Project portion of the GL chartstring associated with this Job Earnings Distribution row.

PS_EMP_APPT_EFF_DT

The date on which a row of job (appointment) data took effect, often called "effective date." Job data pertains to a job held by an employee, rather than to the employee her/himself or to earnings-distribution or component-of-pay (compensation) data. Examples of "job-level" data include: job code, action code, Org_Node, and personnel program code.

In HRMS, the effective date and the date of data-entry often differ.

In the COMPENSATION view, this field contains the effective date of the Job row of which the Compensation row is a child.

In the JOB_EARNS_DIST view, this field contains the effective date of the Job row of which the Job Earnings Distribution row is a child.

PS_EMP_APPT_EFF_SEQ

When multiple job rows exist that are effective on a single date, this field indicates the sequence in which they were entered. The lowest, default value, zero, indicates first row entered on the effective date in question. Rows with higher sequence numbers supercede rows with lower sequence numbers on a given date. Effective sequence numbers are meaningful only in conjunction with the effective date of the row in which they occur.

In the COMPENSATION view, this indicates the effective sequence number of the Job row of which the Compensation row is a child.

In the JOB_EARNS_DIST table, this indicates the Effective Sequence number of the Job row of which the Job Earnings Distribution row is a child.

PS_EMP_EFF_DT

The date on which a row of employee data took effect, often called "effective date." Employee data pertains to an employee, rather than to an employee's job or a job's earnings-distribution. Examples of "employee-level" data include: name, home address, student status, birthdate.

REG_TEMP_CD

Status as a regular or temporary employee. The value of this field is auto-populated based on the value of JOB_CODE in the job row in which it occurs.

REHIRE_DT

Date of most recent rehire action (REH) in the Employment Record represented by this row in the Data Warehouse.

RELATIONSHIP

An Emergency Contact's relationship to an Employee.

REVIEW_DT

The date of the next scheduled performance/salary review for the job represented in this row in the data warehouse. As of September 2002, Review Type and Review Date apply to Career appointments only, and the Revew Type is always "2" (Merit) or Null. In general, these fields are populated for new hires only.

REVIEW_TYPE_CD

The type of review associated with the REVIEW_DT (review date) in the job represented by a row in the data warehouse. As of September 2002, Review Type and Review Date apply to Career appointments only, and the Revew Type is always "2" (Merit) or Null. In general, these fields are populated for new hires only.

SAL_ADMIN_PLAN

Salary Administration Plan associated with the job described by this row of data.

SAL_GRADE

Salary Grade associated with the job described by this row of data.

Indicates whether a row of summarized data pertains to academic (tenure-track) employees holding tenured job classifications, or not. "Tenured" jobs have been defined by Berkeley's Academic Personnel Office as those whose corresponding CTO Code is "010", and rows which include such jobs will be coded "Y" in this field. Rows with a value of "N" in this field summarize tenure-track (but not tenured) jobs whose CTO code is "011", "114", or "124".

TERMINATION_DT

Date on which the job described by this row of data was terminated. Note that termination of a job may differ from termination of an employee (an employee may hold multiple jobs).

TIME_CD

The Time Code for the job row represented in this row in the Data Warehouse. Values include: A (Positive Pre-list), E (Exception Time), N (None), W (Without Salary), Z = (Positive Roster - electronic)

TRANS_CNT

The number of personnel transactions included in a row of summary data. This field is closely related to JOB_CNT, which appears in other views than PERSONNEL_TRANSACTIONS.
