HEADCOUNT_SUMMARY

This view is designed to facilitate "Headcount" reporting, in which each campus employee (including those who hold multiple jobs on the campus) is counted only once. Summary data is published for monthly "snapshots" of the UC Berkeley work force. A limited number of grouping-category fields are included, to allow reporting disaggregated by attributes such as Control Unit, Division, Department, Job Code, and Bargaining Unit.

Only a subset of job rows effective on the last day of the calendar month are used to generate the summary counts in this view:

For those individuals who have multiple, concurrent jobs represented by rows that meet the above criteria, only one of those jobs is included (counted) in the summary fields HEADCOUNT and TOTAL_FTE; only the job row regarded as Primary is summarized in these fields. All such concurrent jobs -- whether Primary or not -- are summarized (counted) in the field JOB_COUNT (generally not used in Headcount reports, but provided in this view for use in other types of reporting).

Users with reporting privileges in the Workforce Summary subject area may report on all rows (without restriction vis-a-vis node in the campus organizational hierarchy, etc.): there is no row-level security on this view.

EMPL_RELATIONS_CD

The Employee Relations code indicates whether a job is that of a manager or supervisor; and whether or not the position is considered "confidential."

In summary views, indicates the Employee Relations code for which data is summarized in a row.

PERSONNEL_STATUS_CD

A person in HRMS can be an Employee ("E") or a Non-employee ("N"). This status is stored in the field PERSONNEL_STATUS_CD.

In summary views, indicates whether a row summarizes data on Employees or Non-Employees.

UNIT_CD

Code representing a campus bargaining unit. Examples include: 99 (Non-represented), CX (Clerical Unit), RX (Staff Research Profession Unit), SX (Service Unit).

In summary views, this field indicates the bargaining unit summarized in a row of data.

APPT_TYPE_CD

A code representing the Appointment Type summarized in a row of summary-view data.

EMPL_STATUS_CD

The Employee Status (e.g., Active, Leave with Pay, Leave without Pay, Suspended, Terminated, etc.) summarized in a row of summary-view data.

HEAD_CNT

The number of job-level rows of individuals' HRMS data included in a row of summary data, where the individual row is an employee's Primary Appointment on the date the row of summary data represents. An employee has exactly one Primary Appointment on any given date. See PRIMARY_APPT_INDEX for more on this topic.

The value of the field is calculated from the number of individuals' job-level rows that, in addition to the condition described above, match grouping-category field data in the summary row (e.g., the count of job-level rows whose APPT_TYPE = APPT_TYPE_CD; etc.).

JOB_CD

A code representing the job (classification) summarized in a row of summary-view data.

JOB_CNT

The number of job-level rows of individuals' HRMS data included in a row of summary data, irrespective of whether the individual row is a Primary Appointment or not. See PRIMARY_APPT_INDEX for more on this topic.

Depending on the view in which this field appears, it may signify a number of positions, a number of personnel transactions, or some other count. The value of the field is calculated from the number of individuals' job-level rows that matches grouping-category field data in the summary row (e.g., the count of job-level rows whose APPT_TYPE = APPT_TYPE_CD; etc.).

JOB_FTE_CNT

The sum of FTE from job-level rows of individuals' HRMS data included in a row of summary data, irrespective of whether the individuals' rows are Primary Appointments or not. See PRIMARY_APPT_INDEX for more on this topic.

The value of the field is calculated from data in individuals' job-level rows that matches grouping-category field data in the summary row (e.g., the sum of FTE from job-level rows whose APPT_TYPE = APPT_TYPE_CD; etc.).

MONTH_KEY

A database key identifying the month and year of data represented by a row, generally in data warehouse summary views. A numeric value, constructed of a four-digit numeric year concatenated with a two digit numeric month; for example, Oct 2003 is 200310, while Jan 2003 is 200301.

ORG_KEY

A database key identifying the ORG_NODE associated with data represented by a row, generally in data warehouse summary views. A numeric value, the function of this key is use instead of ORG_NODE when joining certain views, to improve database performance.

ORG_NODE_CD

The ORG_NODE on which a row of data is summarized in summary views. See ORG_NODE for more information.

PRIMARY_APPT_FLG

A logical value to indicate whether the row of data in a summary view summarizes from job rows that are a Primary Appointment / Job, or job rows that are not Primary. See PRIMARY_APPT_INDEX for more information on this concept.

The value of this field is "Y" if the row summarizes Primary job rows; otherwise, "N."

PRIMARY_JOB_FTE_CNT

The sum of FTE from job-level rows of individuals' HRMS data included in a row of summary data, where the individuals' rows are Primary Appointments. An employee has exactly one Primary Appointment on any given date. See PRIMARY_APPT_INDEX for more on this topic.

SAL_GRADE_CD

A code representing the Salary Grade summarized in a row of summary-view data.

SAL_STEP_CD

A code representing the Salary Step summarized in a row of summary-view data.
